Privacy policy

Metropolis Long Island Track Club (“Metropolis”, “we”, “us”) runs this website to share information about our track and field programs and to let families get in touch. This policy explains what we collect and what we do with it.

What we collect

The information we collect directly is what you type into our contact form. Because our athletes are children, that includes information about a child, so it’s worth being precise:

• About your athlete: their name and date of birth. We ask for the exact date because AAU and USATF set competition age groups by date of birth, and we cannot place an athlete correctly without it.
• About you: your name, your relationship to the athlete, your email address and your phone number. We ask for a phone number because practice and meet details often change at short notice and email isn’t fast enough.
• About your enquiry: the programme you’re interested in and anything you write in the message.

We do not ask for the athlete’s address, school, medical information or photograph at this stage, and the form does not require an account.

We also collect standard, aggregated website analytics — pages viewed, approximate region, device type, and how you arrived at the site. This is used to understand which pages are useful. It is not used to build profiles of individual visitors, and we do not sell it.

Children’s privacy

Our athletes are children, and we take this seriously. This website is directed to parents and guardians, not to children. We ask that a parent or guardian — not the athlete — complete the contact form.

We do not knowingly collect personal information from children through this website. Where we hold information about a child — their name and date of birth — it has been provided by their parent or guardian, who tells us their relationship when they submit the form.

If you believe a child has submitted information to us directly, or you want us to delete information about your child, contact us at hello@metropolisli.org and we will remove it. You do not need to give a reason.

How we use it

• To answer your enquiry and send you program information
• To follow up about registration, practices and meets
• To improve the website

We do not sell your information. We do not share it with third parties for their own marketing.

Who processes it

Form submissions are stored in Google Firebase (Google Cloud Platform) and emailed to our club address, which runs on Google Workspace. These providers process the data on our behalf under their own security commitments.

How long we keep it

Enquiries that don’t lead to an athlete joining are kept for up to one year and then deleted, or sooner if you ask. Records relating to athletes who do join are kept for as long as the athlete is with the club, and for a period afterwards where we are required to keep them.

Who can see it

Enquiries are visible only to club staff. They are stored with access restricted to named coaches and administrators, and they are not shared with other families, other clubs, or anyone else.

Your choices

You can ask us to show you what we hold about you or your athlete, to correct it, or to delete it. Email hello@metropolisli.org and we will respond.

Photographs

We photograph athletes at practices and meets and sometimes publish those images. See our photo and media policy for how that works and how to opt out.

Security

The site is served over HTTPS. Form submissions are transmitted encrypted and stored with access limited to club staff. No payment information is collected through this website.

Changes

If we change this policy we will update the date at the top of this page. Material changes affecting registered families will be communicated directly.
